Print Letters

To print letters, from the control panel select Letters.


You can select letters that are scheduled for a particular date by selecting the Date and clicking the Go button, or a range of dates by selecting the lower radio button and selecting the range of dates and clicking the corresponding Go button.

When you have letters in the grid that need printing, you will need to do so in batches.
You will need to select the same letter for each mail merge. Let's assume that you have three different types of letters named DM1 , DM2, and DM3.
You have a mixture of all three letter types.  You can select all of the DM1 letters by selecting the letter in the Group By drop down box and then by clicking the Go button.  All of your DM1 letters will be shown.  Any status of Sent will need to be excluded by clicking the exclude button.

There are also two different menu buttons to help you segregate your letters

In the top menu there is an Exclude menu item.

Exclude by status - if you select this then you can exclude a particular status from the list
The status's are - SENT, CANCELED, SCHEDULED, and OTHER (any other status you define)
If you wanted to exclude all of your SENT letters for batching you would select Exclude by status and type in SENT in the status to exclude box.  Then click OK.

Exclude multiple - You can batch accounts by amount.  If you had 1000 letters to print and you only wanted to print 500 you would select this and enter 500 as the number to exclude.


After you have segregated your letters, click the Mail Merge button.  Collections MAX will compile an external database for your letters.

Select the letter that you are mail merging and click OK.  If you selected the desktop, Collections MAX will open your new mail merge letters on the desktop for you to view and print.  If you selected printer, Collections MAX will export the letters to your default printer.

Once you have finished printing these letters, for each batch of letters you will need to change the status to SENT. 

Click the Change Status button to change all of the accounts to the desired status after printing letters.
